Platform Privacy Policy

This policy describes information processed through the signed-in GoPBIS school platform. A school or district chooses to use GoPBIS and controls the educational records it provides. GoPBIS processes those records to deliver the school-authorized service.

Information the platform processes

• School and staff data: school name and settings; staff names, display names, work emails, roles, permissions, and account status.
• Student data: name, student identifier, grade, class, gender when supplied by the school, school-provided email, account status, and credentials stored in protected form.
• School activity: PBIS awards and points, comments, reward purchases, behavior incidents, categories, levels, weights, consequences, hall passes, student-life records, notes, groups, and related timestamps.
• Account and security data: sign-in records, session information, a first-party device identifier, browser information, password-reset activity, and security alerts.
• Support and administration: messages, demo or onboarding information, invoices, subscription status, and communications with GoPBIS.

Why we use it

We use platform information only to provide and support the features authorized by the school; authenticate users; apply school roles and permissions; generate school reports; protect accounts; communicate about service and security; bill the subscribing organization; troubleshoot problems; and comply with law.

How information is disclosed

School records are available only to authorized users according to the school’s configuration and permissions. We may use vetted service providers for hosting, database operations, authentication, and transactional email. They may process information only to perform services for GoPBIS. We may also disclose information when directed by the school, required by law, needed to protect safety or the service, or in a business transaction subject to appropriate safeguards.

School and family choices

Schools can review and manage their users and student records within the platform. Parents, guardians, eligible students, and staff should direct requests to the school because the school verifies identity and decides how its educational records should be handled. GoPBIS will assist the school with access, correction, export, restriction, or deletion requests as appropriate.

Retention

We retain school records while needed to provide the service and according to the school’s instructions, applicable agreements, backup cycles, and legal requirements. When a school closes its account, it may request an export and deletion process. We do not retain children’s personal information longer than reasonably necessary for the school-authorized educational purpose.

Security

GoPBIS uses role-based access, password hashing, protected sessions, account alerts, encrypted network connections, tenant separation, backups, and operational controls intended to protect confidentiality and integrity. No system can guarantee absolute security. Suspected security issues should be reported promptly to security@gopbis.com.

Children

GoPBIS is designed for school-directed educational use, including by students who may be under 13. See the COPPA Notice for the information collected from children and the choices available to schools and families.
